Supervisor, Lab Outpatient Phlebotomy Location: Edward Hospital 801
S. Washington St. Naperville, IL. Full Time 1.0 FTE Hours:
8am-4:30pm A Brief Overview: Under administrative direction, the
supervisor assumes responsibility for overseeing the operation of
the Outpatient Phlebotomy Services at the Hospital and Outpatient
sites with the goal of providing consistent, patient focused
service to our patients. The supervisor is responsible for staff
training and competency, problem resolution, and to ensure
exceptional customer service standards are maintained on a
consistent basis. What you will do: Knowledge and compliance with
Federal, State and local laws that apply to the job's area of
responsibility. Ongoing growth and development from participation
in events such as workshops, in-service programs and departmental
meetings. Follows all Infection Control and safety-related policies
and procedures and uses appropriate PPE. Completes competency and
work-related assignments within the established timeframe.
Completes performance self-evaluations and all related
documentation in a thorough manner within the expected timeframe.
Customer Support - Provide a number of services which enable
testing and enhance the patient experience. Specimen Collection:
Collects patient specimens from both inpatients and outpatients in
accordance with test requirements and in a manner which is
appropriate for the age and/or specific patient population served.
Specimen Processing: Prepares patient specimens for testing
including centrifuging, separating, storing, packaging and
arranging for transport to alternate locations. . Computer Support:
Performs a variety of functions within Lab and Hospital information
systems to facilitate laboratory testing, manage billing and
reporting of results. Results/Information Reporting: Generates and
distributes inpatient and outpatient results Performs a variety of
waived testing procedures and assists with special procedures in
accordance to policies and procedures Provide technical and
supplemental computer training for new and existing staff. Under
the direction of the Phlebotomy Manager, collect and report
section-specific statistics monthly by delineated deadlines.
Oversee the training of phlebotomy students and ensure learning
objectives and competency are achieved. At the request of the
Phlebotomy Manager, provide technical input into development of
department policies and procedures. Triage phlebotomy requests that
may be beyond standard services. Carry a pager to ensure that
issues can be readily resolved. Ensure adequate inventory of
supplies to enable business needs. In conjunction with the
Phlebotomy Manager, schedule staff to provide appropriate coverage
for expected workflow. Sign off employee worked and benefit hours
in API, as assigned. Review unscheduled absences, late arrivals and
document same. Assist in recruiting efforts such as selecting and
interviewing candidates for phlebotomy positions. Assist with
orientation of new hires to department and facility. Ensure
corporate new hire expectations are achieved by attendance at New
Employee Orientation or on-line training and completion of
department onboarding procedures. Assist with documentation of
staff competency during introductory period, twice during the
initial year of employment and annually thereafter, including age
specific competencies. In conjunction with the Phlebotomy Manager,
write and deliver employee introductory, interim (if required) and
annual performance appraisals. Travel to PSC sites on a daily basis
to ensure compliance with all policies and procedures as well as
employee competency. In conjunction with the Phlebotomy Manager,
identify employee opportunities for improvement and follow up with
appropriate performance improvement or corrective action. Identify
problematic patterns or trends in employee behavior, keep Manager
appraised and write and deliver corrective action in conjunction
with the Manager. In conjunction with the Phlebotomy Manager,
coach, mentor and encourage staff to provide services in a manner
which assures patient loyalty. Observe phlebotomist/patient/staff
interactions and intercede and coach as appropriate to effect
optimal service. Ensure employee engagement by promoting staff
achievements. Make use of Service Values Awards and Loyalty Leader
Awards as indicated. Under the direction of the Manager, Phlebotomy
Services, collect data and prepare submission report for all PI
indicators related to OPL operations monthly by established
deadline. In conjunction with Manager Phlebotomy Services, handle
all patient, physician and other customer complaints, research and
respond to ensure a satisfactory resolution. Enable service
recovery measures when appropriate. Report complaints as a part of
monthly PI and direct systematic issues to Manager, Phlebotomy
Services. In conjunction with the Phlebotomy Manager, review
incident reports related to area of service and initiate corrective
actions as appropriate. Refer any major incidents or systematic
issues to the Lab Support Quality and Education Manager. Ensure
monthly Point of Service surveys for all sites are distributed,
collected and submitted as per schedule. Identify performance
improvement opportunities to ensure quality outcomes and optimal
customer loyalty. Serve as the primary conduit of information from
Phlebotomy Management to employees and vice versa. Ensure
communications are received and understood. Hold staff meetings at
least once per month with documented minutes and review by
employees. Identify problematic trends in expenses, supplies,
services and provide suggestions for potential resolution. Look for
opportunities to reduce costs for personnel and supply/service
expense where appropriate. At the request of the Phlebotomy Manager
or Lab Management, assist with or make recommendations on proposals
to support new programs or services related to area of
responsibility. Function as the subject matter expert in compliance
and ensure all staff members are knowledgeable about policies and
procedures related to Corporate Compliance. Ensure employees follow
correct procedures for processing patients in Epic to ensure bills
can be appropriately processed. Ensure employees know the
appropriate individuals to whom compliance concerns can be
addressed. What you will need: Bachelors Degree Required 5 Years 5
years of documented Phlebotomy experience required. Recent
experience in pediatric and geriatric phlebotomy required. Prior
personnel management experience strongly preferred. Requires strong
interpersonal and communication skills. Ability to diplomatically
communicate policies, procedures and customer service expectations.
Must have experience with a variety of Lab and Hospital Information
Systems or Electronic Medical Records. Proficiency with Windows and
Microsoft Office Software. Must be detail oriented and able to work
under pressure. Must be able to identify and resolve issues with
patients and staff effectively. Must demonstrate proven leadership
skills and the ability to create and foster a strong team working
environment. Must demonstrate technical competency in phlebotomy
collection procedures. Bachelor's degree in biological science or
medical technology, business management, computer science or
equivalent. Preferred: PBT(ASCP), MLT (ASCP), Certified Medical
Assistant or equivalent Required: CPR/BLS (Basic Life Support) for
