Make A Difference In Your Community!Enrollment and Eligibility Coordinator Opportunity!The YMCA of Metropolitan Chicago is hiring a full-time Enrollment and Eligibility Coordinator to facilitate the recruitment and enrollment of youth in the after-school, camp, and enrichment programs. This position will have a base located at the Buehler YMCA center, a community-focused nonprofit, located in Palatine, IL.The Y offers a variety of impactful programming to all ages and families. Following the Y's impact for more than 150 years, the mission of the YMCA of Metro Chicago is to develop strong children, families, and communities across Metropolitan Chicago through academic readiness, character development, violence prevention, fitness, and healthy living.As an Enrollment and Eligibility Coordinator, you will facilitate the recruitment and enrollment for a defined region of youth in the after-school, camp, and enrichment programs. The Enrollment and Eligibility Coordinator is responsible for ensuring that funding requirements such as Child Care Eligibility Applications, Change of Providers, and Re-determinations are completed and submitted in an accurate and timely manner in order to maximize billing and funding levels. Additionally, the Enrollment and Eligibility Coordinator must ensure that all YMCA enrollment requirements are completed.Our staff is the Y's greatest asset. Our teams provide valuable skills, knowledge, and passion that is essential to the contribution and positive impact in our communities, which is why we offer Y employees numerous perks and benefits, including: Comprehensive benefits package for eligible employees Opportunity for eligible employees to participate in the Y's retirement fund Be part of a team that is passionate about building and sustaining an inclusive and equitable environment for all staff, volunteers, and members Do meaningful work and contribute to the advancement of the YMCA vision by meeting the needs of the people in our communities Complimentary Adult YMCA membership and an employee discount on select programs Career advancement opportunities - grow your career at the Y!Responsibilities: Assists Director with recruitment efforts, including distribution of promotional materials to families and attending school-wide parent/family engagement events such as parent orientation, open houses, and report card pick-up Completes child care eligibility applications and re-determinations with parent applicants and determines eligibility, calculates, and collects parent co-payments Distributes enrollment packets and parent handbooks to families to ensure comprehensive completion of the enrollment packet and enroll students in the program Maintains tickler file/spreadsheet to ensure timely re-determination and submission of eligibility and sends notices to parents 30 days prior to eligibility expiration and follows up to ensure that all required documents are submitted Develops and maintains eligibility files on all enrolled families Maintains sign-in sheets and has a system for tracking Completes child care billing monthly and reports on unbilled children/days of service, resolves all unbilled issues, and authorizes supplemental billings Follows up with parents regarding the collection of co-payments and fees and enters and maintains co-payment data on tracking spreadsheet Participates in all audits and ensures documentation is always audit readyMinimum Requirements & Preferred Qualifications: Minimum of an Associates Degree in Business Administration, Management, Accounting or equivalent work/education experience Bilingual in Spanish and English required Knowledge and experience in eligibility standards for a child care program Previous administrative experience required Demonstrated interpersonal skills to effectively build and maintain relationships with members, team members, and other stakeholders and constituents and to work in a diverse group is required Ability to organize and prioritize multiple, competing for priorities to maximize personal and team effectiveness. Demonstrated member relations/customer service skills and skilled in problem-solving and complaint resolution. Intermediate proficiency in Microsoft Office (e.g. Word, Excel), email; ability to learn and adapt to new technology. Outstanding written/verbal communications with the ability to adapt the message to an audience Commitment to, and a passion for, the YMCA of Metro Chicagos mission.
