Job Description As the Executive Assistant to the Chief
Operation Officer, you are expected to be a highly resourceful
individual with exceptional communication skills and organizational
ability. A large restaurant group is seeking an individual to
provide professional support across a wide variety of tasks and
initiatives. On a day-to-day basis, this candidate will be able to
quickly synthesize information and present it with confidence to
the COO; in the long-term, this candidate will be managing multiple
simultaneous projects toward big-picture goals in effort to assist
in streamlining the business communication and processes.
Responsibilities will include directing communication and
information flow to/from the COO, coordinating a complex schedule,
conducting thorough research on a diverse array of topics and
synthesizing findings into recommendations. Efficient management of
a small team of peers to support COO---s needs, and comprehensive
administrative support to assure the smooth running of a busy
calendar. An active approach to problem solving, strong project
management, communication, and research skills, and technology
savviness/computer literacy are all a must; previous C-level
support experience is a plus. This is a position that offers the
opportunity to work autonomous and as an integral part of a
talented and collaborative group. Primary Duties/Responsibilities:
Providing management and support for travel and travel related
planning. Ensuring efficient travel and use of time while managing
costs responsibly. Managing the calendar and resource requirements
to optimum productivity for the COO. Managing the flow of
communications - email, voice mail, correspondence --- to and from
the COO and other key Operations executives. Planning meetings,
conference calls, Zoom or Teams calls to coordinate multiple
schedules. Provide daily and weekly summary of communications,
assignments and follow-up requirements Preparation of meeting
presentation materials, both analytical reports and PowerPoint
presentations. Maintaining correspondence history and documentation
for the COO. Expense report management and preparation. Project
Related & Advanced Duties: Working with the COO and other Operation
Team leaders to document and track project related initiatives.
Using business analytic data, prepare spreadsheets and analysis of
use by the COO in making key decisions. Develop and provide
reporting including Customer Satisfaction Data, Key Operations
Metrics and Financial data. Build and maintain spreadsheets that
track and document historical performance of key business
indicators. Manage reoccurring purchasing requirements for
Operations and Operations related departments. Required
Skills/Abilities: Superior verbal and written communication skills.
Proficient with all Microsoft Office Suite applications. Strong
Power Point skills. Excellent interpersonal skills. Strong
presentation skills. Ability to handle confidential information
with the highest integrity. Education and Experience: Bachelor---s
degree or equivalent Prior C-level support experience Restaurant or
retail experience a plus
